How to choose promotional products for trade shows

A promotional product for a trade show should have a clear purpose: to start a conversation, support a presentation of your offer or remind someone of your meeting after the event. Start by considering your goal, your audience and how you will hand out the products. Then move on to the colour, model and position of your logo.

First, decide who you want to reach

Think about who will visit your stand and what they need. A gift set for people attending a specialist trade show may differ from one for visitors discovering your business for the first time. Three questions can help: who is the recipient, when will they use the product and what should they remember about your brand?

If you expect different groups of visitors, you do not need to give everyone the same gift. Organise your products around the situations in which you will present them:

  • For a broad range of visitors: small products that are easy to hand out, such as pens, pocket notebooks or small accessories.
  • For people interested in your offer: a product relevant to their work or your conversation, such as a notebook, organiser or desk accessory.
  • For partners and invited guests: a more personal gift or coordinated set, chosen to suit the relationship and the occasion.

Choose products that are easy to take away

Trade show visitors often already have a bag, printed materials and personal belongings with them. Before ordering a larger item, check its dimensions, weight and packaging. Will it fit in a bag? Can your team hand it over comfortably at the stand? Does it need extra protection during transport?

Also look at the construction: the closure, stitching, attachment of components and the quality of the surface intended for printing. If these details matter to your project, ask for a sample or close-up photographs. Base your choice of a durable product on its specification and an assessment of the particular model.

Budget for the complete order

Your budget for branded promotional products should cover the complete, finished order. To compare quotations, use the same set of requirements: quantity, product colours, artwork and branding size, number of branding positions and packaging.

Ask about branding preparation, any sample, assembling gift sets and delivery. Clarify which amounts are net and which are gross. This will make it easier to see what fits your budget without dropping important elements at the end of the ordering process.

Match quantities to your meeting plan

Estimate quantities using your experience of previous events, planned meetings and how your team will run the stand. Calculate separately the products for general distribution, gifts for interested customers and sets for partners. Include display items and a reserve appropriate to your plan.

Agree with your team in advance when to give out each type of product. This simple arrangement makes it easier to manage your stock and keep the gifts intended for scheduled meetings available.

Keep your message clear and consistent

The logo, colours and message on your promotional products should work with your stand and marketing materials. A small item does not need to carry your entire offer. Choose a message that remains legible in the space available.

Before approving the artwork, check spelling, proportions, contrast and branding size. If you include a QR code, test the destination address and check that the code can be scanned at the intended size. Assess the design for the actual product, as well as the enlarged preview on your screen.

Agree the delivery date before ordering

Provide the event date, delivery location and the date by which the products need to be with you. Ask when the artwork must be approved and whether a sample, special packaging or custom production affects the schedule. Confirm availability and lead time for your chosen model, quantity and branding.
